Your Employment
Employment Categories & Pay
Full-Time
32–40 hrs/week. Eligible for health insurance (50/50 match) and PTO after 90 days.
Part-Time
Under 30 hrs/week. Eligible for WA State Sick Leave accrual.
Temporary
Project-based or short-term. Not eligible for standard benefits.
Contracted
Independent contractors per agreement terms. Responsible for own taxes and insurance.

Work Schedule
Frontline (non-exempt) staff work 8:30 AM – 4:30 PM, Monday–Thursday (32 hrs/week). Exempt staff work 40+ hrs, Monday–Friday. Hybrid/remote Fridays available with manager approval.
Federal Holidays Observed
10 federal holidays observed. If a holiday falls on a Friday, it is observed the preceding Thursday. Columbus Day is our annual Staff Retreat day not a standard holiday.

PTO eligible after 90 days. Must be used in 8-hr increments with prior manager approval. WA State Sick Leave accrues at 1 hr per 40 hrs worked; up to 40 hrs carry over annually.
Leave Policies
Family, Medical & Other Leave
1
FMLA
Up to 12 weeks unpaid, job-protected leave for qualifying family/medical reasons. Requires 12 months of employment and 1,250 hours worked.

WA PFML
Paid leave for eligible employees (820+ hrs/year). Up to 12–18 weeks. Runs concurrently with FMLA where applicable.

Bereavement
Up to 3 paid days for immediate family loss. Additional leave granted case-by-case family is not always blood.

Other Leave
Jury Duty (paid), Military (USERRA-compliant), Parental, Domestic Violence, and Pregnancy Accommodation leave all available.

Key Payroll Facts
  • Pay periods are monthly (transitioning to bi-weekly as we grow)
  • Direct deposit is mandatory submit form or voided check during onboarding
  • Clock in/out using ADP from your work location
  • Notify supervisor immediately if a punch is missed
  • No overtime without prior management approval
  • 30-minute lunch break required for every 5 hours worked
Time-Boxing Your Calendar
All staff must time-box their calendars for compliance and efficiency. Use naming conventions: Funder_XYZ, JD, Case Management, Mentorship-Coaching.
Allocate 15 minutes between visits to complete case notes in Salesforce. Real-time documentation is required for funding compliance and organizational success.
Workplace Policies
Key Policies to Know
Dress Code
Business/business casual for formal events; casual attire when working directly with members. Closed-toe shoes required in safety-sensitive settings. Avoid large logos or offensive content.
Substance Policy
Marijuana and alcohol must be used recreationally outside work hours no use within 10–12 hours of your workday. All other mind-altering substances are prohibited during work.
Technology & Confidentiality
Company technology is for work use. No sharing of confidential member or organizational data. Strong passwords required; update every 90 days. MFA required for critical systems.
Gossip & Communication
Zero tolerance for gossip, slander, or the "Triangle Effect." Address issues directly or through proper channels. Practice curious inquiry challenge the stories we tell ourselves.

Reporting & Accountability
Whistleblower, Grievance & Zero Tolerance
Whistleblower Policy
Report suspected violations to the Executive Director or Board Chair. All reports are confidential. Zero retaliation "see something, say something." Records retained 7+ years.
Sexual Harassment: Zero Tolerance
Any unwelcome sexual conduct is prohibited. Report to a supervisor, Executive Director, or anonymously to Info@leveledupReentry.com. Immediate investigation within 30 days. Violators face termination.
Grievance Process
Raise concerns informally first, then file a formal written complaint with HR. Investigation within 10–20 business days. Appeal to Executive Director within 10 business days of outcome. No retaliation tolerated.
Corrective Action & Separation
Performance, Discipline & Transitions
Our goal is always improvement before escalation. Grounds include policy violations, misconduct, attendance issues, or failure to meet performance standards. Resignation requires 2 weeks' written notice to receive unused PTO payout. Final paychecks issued on the next scheduled payday per WA State law.
